Organizers Reports Overview

This article provides an overview of the Organizers Report dashboard in Organizers.

  1. Navigate to Organizers Reports in the navigation menu. 
  2. Click Delivered Organizers.

Bulk Action Items

These actions can be performed on multiple organizers at the same time. 

Send Reminder

You can manually send a reminder to the client so that they can sign their document(s), complete their organizer, or upload source documents. The reminder email will be delivered immediately. You can also adjust scheduled automated reminders. 

Send Reminder Now

  1. Check the box to the left of the client's name(s).
  2. Select Send Reminder.
  3. Click the checkbox next to the reminders to be delivered. 
    • If items that don't qualify for a reminder are selected, a warning message will appear below.
  4. Click Send to deliver the reminders.

Schedule Automated Reminder

  1. Check the box to the left of the client's name(s).
  2. Click Send Reminder above.
  3. Click the Schedule Automated Reminder tab. 
  4. Toggle the reminder to enable or disable Signing or Organizer reminders. 
  5. Click the Send a reminder every. . . drop-down to select how often Signing or Organizer reminders are sent to the taxpayer. 
  6. Click Save to save any changes made.

Download

  1. Check the box to the left of the taxpayer's name(s).
  2. Click Download to download signed documents, the completed organizer, and uploaded source documents.

Change Status

Changing the status of an engagement letter or organizer will update the status to MANUALLY SIGNED or MANUALLY COMPLETED. This indicates the taxpayer provided the completed engagement letter or organizer outside of SafeSend. 

  1. Check the box to the left of the taxpayer's name(s).
  2. Click Change Status.
  3. Click the checkbox next to the statuses to be updated. 
    • If items that don't qualify to change the status are selected, a warning message will appear below.
  4. Click Save to update the selected statuses.

Archive & Restore

You can move completed organizers to help keep your Organizers Reports section more organized (recommended). You can also restore a document from the Archived Organizers section if necessary. 

Archive

  1. Check the box to the left of the taxpayer's name(s).
  2. Click Archive above.
  3. Click Confirm to move the organizer to the Archived Organizers section
    • Note: All scheduled reminders will be turned OFF for archived Organizers

Restore

  1. Navigate to the Archived Organizers.
  2. Check the box to the left of the taxpayer's name.
  3. Click Restore above.
    • Note: Previously scheduled reminders will be turned ON for restored Organizer
  4. Click Confirm to move the organizer back to the Delivered Organizers section.

Delete & Restore 

When an organizer is deleted it is placed into the Recycle Bin, where it can either be restored or permanently deleted. Permanent deletion is not recommended. 

  1. Check the box to the left of the taxpayer's name(s).
  2. Click Delete above.
  3. Click Confirm to move the organizer to the Recycle Bin
    • Note: All scheduled reminders will be turned OFF for recycled Organizers

Restore

  1. Navigate to the Recycle Bin.
  2. Check the box to the left of the taxpayer's name(s).
  3. Click the Restore button above.
    • Note: Previously scheduled reminders will be turned ON for restored Organizers
  4. Click Confirm to move the organizer back to the Delivered Organizers section.

Close/Open by Firm

This option will allow you to close or re-open an organizer. 

Important

  • If an organizer is re-opened, the taxpayer will receive an email notification requesting they update the organizer. 
  • If the taxpayer attempts to open a closed organizer, they will receive the message below:

  1. Check the box to the left of the taxpayer's name.
  2. Click Close/Open by Firm.
    • If the organizer was closed, it will re-open and the status will change to Delivered or Questionnaire Completed
    • If the organizer was open, the status will change to Closed by Firm.
  3. Click Confirm.

Filter and Export

Refresh

Click the Refresh icon to refresh the report to update any recent changes.

Filter

Type into the column headers or select an option from the column header drop-down to filter organizers. Click the arrows at the top of the column to sort in ascending/descending order. You can also save, apply, or clear all filters. 

  1. Use the Column Headers to filter the Organizer Report OR
  2. Click the Filters drop-down to: 
    1. Apply Recent Filter.
    2. Save Current Filter.
    3. Clear Filter.

Column Options 

The column display can be edited to suit your needs.

  1. Click the Colum Options button.
  2. Click the toggle to turn a column On or Off (display or do not display column). 
    • The Client ID column cannot be disabled. 
  3. Drag and drop the columns to reorder them. This also reorders them on your Delivered Organizers dashboard. 
  4. Click Ok to save any changes made.

Export to Excel

Click Export to Excel to export the current filtered report into a CSV file.

Action Menu

Edit Client Info

  1. Click the green Edit Client Info button to open a window to view and edit client information.
  2. Edit any information necessary. 
  3. Click Save to save any changes made.

Download 

  1. Click the Download Organizer icon.
  2. Click Filled Organizer to download the organizer or Signed Documents to download all signed documents. 
    • Audit will update to show user who downloaded with date/time stamp. 
  3. Click the Download Newly Added option in the Source Documents drop-down to download only newly added documents. 
    • Source documents that have already been downloaded will not be downloaded. 
  4. Click the Uploaded Date column to sort the documents in ascending or descending order. 
  5. Click the Preview button to see a preview of that document. 
  6. Click Download All to download all documents listed.

More Action Items

Unlock Organizer 

If a client fails to enter the proper access code three times, the organizer is automatically locked. The organizer unlocks automatically after 5 minutes. 

Please note:

This option is only available if the organizer is locked. 

  1. Navigate to Delivered or Archived Organizers.
  2. Locate the locked organizer and click the More (...) icon in the Action menu. 
  3. Click Unlock Organizer.
    • The Unlock Organizer option is only available if the organizer or the Client Portal is locked.
  4. Click Unlock Direct Document OR
  5. Click Unlock Taxpayer Client Portal.

Resend Access Link

  1. Click the More Action Items (...) icon.
  2. Click Resend Access Link.
  3. Click the Resend Access Link icon for the recipient OR
  4. Click the Copy icon to copy the Organizer access link to your clipboard.

Client View

The Client View option opens a new tab that displays the Organizer as the client sees it. You will be able to see what progress has been made by the taxpayer.

Please note: Pop-ups must be enabled for the new tab to open. 
  1. Click the More Action Items (...) icon.
  2. Click Client View
  3. Click the taxpayer or spouse's name to open a new tab.

Client Tracking

  1. Click the More Action Items (...) icon.
  2. Click Client Tracking to view the activity on the organizer, from access to signature.
  3. Review Client Tracking events.

Send Reminder

  1. Click the More Action Items (...) icon.
  2. Click Send Reminder

    • A red warning will appear if automated reminders are enabled. 
  4. Click the checkbox next to the reminders to be delivered. 
  5. Click Send to deliver the reminders.

Schedule Automated Reminder

  1. Click the More Action Items (...) icon.
  2. Click Send Reminder
  3. Click the Schedule Automated Reminder tab. 

  4. Toggle the reminder to enable or disable Signing or Organizer reminders. 
  5. Click the Send a reminder every. . . drop-down to select how often Signing or Organizer reminders are sent to the taxpayer. 
  6. Click Save to save any changes made.

View Access Code

If a taxpayer is unable to locate their access code, firm users can generate a new access code and provide it to them via email or phone.  This allows the firm to provide direct help if the taxpayer is having difficulty accessing their documents. 

Organizer

  1. Click the More Action Items (...) icon.
  2. Click View Access Code to open the Access Code window. 
  3. Click the Direct Document tab. 
  4. View the most current access code OR
  5. Click Generate Access Code to generate a new code for the taxpayer.

Client Portal

  1. Click the More Action Items (...) icon.
  2. Click View Access Code to open the Access Code window. 
  3. Click the Client Portal tab. 
  4. View the most current access code OR
  5. Click Generate Access Code to generate a new code for the taxpayer.

Reopen Document Upload 

If the taxpayer clicks Complete on the Upload Documents page, they will no longer be able to upload new documents. You can allow them to upload documents again using this feature. 

Please note: This option will only be available if the status for Source Documents is Finished
  1. Click the More Action Items (...) icon.
  2. Click Reopen Doc.. Upload
  3. Click Confirm to allow the taxpayer to upload documents again.

Reopen Organizer

After the organizer has been marked as completed by the taxpayer or spouse, the organizer can no longer be edited. The firm can re-open the organizer for editing using the Reopen Organizer option. 

Please note: This option will only be available if the status for the Organizer is Completed.  

  1. Click the More Action Items (...) icon.
  2. Click Reopen Organizer
  3. Click Confirm to allow the taxpayer or spouse to edit the organizer again.

Report a Problem

This option allows you to send a report from a specific organizer to our Support team. This provides them with additional organizer details that may be useful for troubleshooting. 

  1. Click the More Action Items (...) icon.
  2. Click Report a Problem
  3. Enter a Description of the issue. The more details, the better. 
  4. Click Submit to send the report to our Support team.

Undelivered Batch

The Undelivered Batch section displays organizers that were uploaded as part of a batch but had an error that was not corrected. These organizers were not delivered. 

Please note:

Deleted items are not sent to the Recycle Bin. They are permanently deleted.

  1. Click Undelivered Batch in the left panel. 
  2. Click the Download icon to download an Excel file. 
    • The file will display all the organizers within the batch that did not deliver and the reason why. 
  3. Click the red X icon to delete the line item.

Additional Report Options

Blue Text

You can click certain areas of the Delivered Organizers report to see additional information. Any text that is blue can be clicked, as well as any link icon displayed in the report. 

Signature Status

  1. Click a Partially Signed status. 
  2. Review Signature Details. 
    • Details will include if they have signed with a date and time stamp.

Download Status

  1. Click a Downloaded status. 
  2. Review the firm's Download History.
    • Details will include which items were downloaded with a date and time stamp.

Link Icon

See a list of Names, Client IDs, and Email Addresses associated with this organizer in the Client Portal. This option also displays items outside of Organizers, like Extensions or Returns. 

  1. Click the Link icon next to the client's name.
  2. Review Connections
